About the Product

YOOV WORK is a All-in-one HR management system that integrates various functions. It helps business to streamline all HR tasks, from employee onboarding, scheduling, attendance, leave, to payroll.

Overview

As a cross-platform system, there was fragmented functionality across platforms lead to inconsistent user experience between Desktop Platform and Mobile App version.

In the App, users can perform various scheduling related actions, such as browsing, creating, or editing events. In contrast, users can only browse and remove events on the Desktop version.

Problem

Business
Competitive Disadvantages, limited administrative control, and increased training and support costs.
User
Inconsistent User Experience, limiting administrative capabilities, and creating dependence on the mobile platform.

Goals

Enable users to perform the Scheduling actions on Desktop version same as on the App, while ensuring a consistent cross-platform experience.

Project Challenge

Requirements that are not yet ready for processing

Before starting the design, I noticed some potential project risks from the design ticket with uncertainties and began addressing them first.

I proactively addressed my concerns with my Design Manager. However, I attempted to collaborate with the Product Officer for more information were unsuccessful.

Consolidating the foundation

Lead project success through Eliminating Project Risk

Although I was unable to get direct input from the Product Team, I still managed to identify project risks by evaluating the existing design.

By walking through the findings with the team, we refined the project foundation  on the first day of the sprint. This included setting a new design direction align to the scope, high-level principles, and so on.

Business Impact
Mitigate project risks at early stage.
Avoidance of other assigned projects being shelved.
Enable managers to have greater control on sprint planning.
Allowing accurately estimating project timelines.
Design Impact
Reducing design constraints.
Ensured a more seamless cross-platform experience.
Minimized the impact on existing system modules.
Prevent the risk of design flaws and costly revisions.

Discovering

Identifying the key of cross platform experience alignment

Due to the lack of product documentation, I mapped out the existing user flow from the app side and iterated upon it to develop a suitable user flow for the web platform.

Solution

Unlock productivity through Better UI control

Adopting the calendar-based layout as the main view same as app's scheduling module, we could provide the most intuitive and consistent cross-platform experience for users at the beginning.

This calendar-based layout serves as the foundation to cater various user stories. By enhancing administrative control on the web interface, they can effortlessly manage scheduling tasks.

Solution

Event Creating Experience

When creating events, there are many configuration options available. However, sometimes administrators received requests that only involve basic configurations. We’re now offering a way to create event with lightweight content, and a way with comprehensive set of options.

Solution

Browsing Experience

By consolidating relevant interactions in the main view, the complexity of the process is reduced. Users can now scan events and access details more quickly without switching pages.

Result

Seamless User Experience
Enabling all event management actions on the backend(desktop) streamlines workflows and reduces errors.
Increased User Productivity
Enhanced administrative control through comprehensive event management on the desktop backend.
Cost Reduction
Consistency requires less user training to navigate the system, and IT support teams face fewer platform-specific issues and requests for assistance.
Competitive Advantage
Boosts market share and revenue, enhances the brand's reputation, completeness and reduces churn by retaining users.
